ENSA Administrator / Receptionist

We are looking for an organised, enthusiastic, and customer-focused individual to contribute to the professionalism of ENSA by providing high-quality administrative and reception support for key functions across the organisation.

Edinburgh Napier Students’ Association (ENSA) exists to enable students to make the most of their university experience. We do this by representing, supporting and developing Edinburgh Napier students to be successful in their studies; to try out new things; to engage in, and contribute to, university life; to be healthy and happy; to bring about positive change; and to have fun.

Reports to: CEO

Contract: This is a part-time, permanent post

Hours: Wednesday to Friday, 21 hours per week in the office at B34 Merchiston Campus

Salary: £24,536 (pro rata)

Holiday entitlement: 22.8 days / 160 hours.

Key Responsibilities:

  • Reception duties as required and support for the ENSA Administrator
  • Provide reception and administrative support to the Advice Service (including the C Card scheme), Senior Managers and Officers Group, the Student Communities and Engagement Team, and the Board of Directors, including minute-taking and record keeping
  • Support the Finance Officer to carry out financial and HR administrative tasks
  • Provide dedicated support to the Student Activities Coordinator in relation to clubs and societies, ensuring that funding requests from Office Holders have the required documentation and that financial transactions are properly recorded
  • Ensure health and safety and HR records are kept up-to-date and that there is an appropriate organisation-wide e-filing system in place
  • Contribute, as needed, to the delivery of Welcome Week and other ENSA events throughout the year
  • The principal role and responsibilities will change from time to time and the post holder is required to undertake any additional duties as deemed appropriate.
